How do I set up a Payroll Definition?

Set up and save your payroll preferences so they are ready when you are to run payroll.

To run your payroll you first need to set up a payroll definition.

A payroll definition is a set of properties that relate information about a payroll run. So, what does that mean? A payroll definition allows you to select and save the employees, company, location, pay frequency, and report type you wish to use for that specific payroll run.

To set up your payroll definition follow these steps:

  1. Navigate to Payroll from the navigation menu on the left side.

  2. If you have any saved Payroll Definitions they will be shown here. To edit an existing Payroll Definition click the Edit button to the left of the definition.

  3. To add a new Payroll Definition, click New Definition in the top right.

  4. Here you will see the Edit Payroll Definition page. Enter the payroll definition name, company, location, employees, pay frequency, and record type for the payroll run.

  5. Click Save or Save and Next to run this payroll.

Q: Can I update an existing Payroll Definition?

A: Yes! You can update an existing Payroll Definition by clicking the Edit button to the left of the definition name.


Q: What should I set the pay frequency to in my Payroll Definition?

A: The pay frequency is how often employees are paid in the payroll run you are setting up. The default Payroll Definition pay frequency setting is weekly, however, when setting up your payroll definition you should use the payroll frequency drop-down to select the frequency that fits your business.


Q: How many Payroll Definitions should I have?

A: If you pay all of your employees on the same pay frequency one Payroll Definition is probably all you need. If you have multiple pay frequencies, for example, weekly payroll and a monthly payroll you will need to set up a Payroll Definition for each of these payroll runs.
